## Overview

skySchedule is the AI scheduler for senior living and healthcare, part of skyWorkforce by Skypoint AI. Powered by skyAgent, it builds the weekly schedule, fills open shifts, and flags overtime risk — while schedulers stay in command.

Operators get a desktop workspace per community. Staff get a mobile app to pick up shifts, set availability, and respond to offers. Every agent action can be set to suggest, confirm, or run autonomously, and is written to an append-only audit trail.

## Why skySchedule Delivers Better Outcomes

    Recurring templates, autofill by named priority, and an open-shift waterfall replace last-minute phone trees.

    A staff portal and installable PWA let people accept or decline offers, post availability (including rotating patterns), and message the team — with push notifications.

## Key Capabilities

<CardGroup cols={2}>
  <Card title="Weekly Schedule Grid" icon="table">
    Compact grid for large rosters, day / week views, a printable daily who’s-working roster, and a global location switcher. Shifts color by day, evening, or night using per-location period ranges. Facility timezone and 12h/24h preference apply everywhere.
  </Card>

  <Card title="Templates, Recurrence & Autofill" icon="clone">
    Staffed schedule templates, create-from-scratch editors, standing weekly patterns, configurable rotation cadence, and batch create for open shifts. Autofill follows a per-position, per-community priority list you can name, drag-reorder, or reset. Locations can require staff to have set availability before they are auto-assigned.
  </Card>

  <Card title="Open-Shift Waterfall" icon="arrow-down-wide-short">
    Rank candidates (full-time before part-time before PRN, float, then agency), send SMS offers in rounds, and widen the callout through timed escalation. See who was offered a shift and how they replied. Predictive ranking estimates likelihood to accept and remaining weekly capacity. Offers do not go out for a shift that already started.
  </Card>

  <Card title="Callouts & Late Clock-In" icon="phone-missed">
    One intake path for callouts from phone, SMS, app, or agent — the replacement shift opens and the waterfall starts. Late HRIS punches can stay quiet at the first threshold, then alert and optionally send coverage offers at the second.
  </Card>

  <Card title="Staff Portal & Availability" icon="user-clock">
    Staff view their schedule, pick up open shifts, accept or decline (with a decline reason), and set willing hours. Rotating availability covers patterns such as every other Sunday. Managers can edit availability, apply one template in bulk, grant dated time-off, and exempt a person from the availability rule.
  </Card>

  <Card title="Overtime Controls" icon="triangle-exclamation">
    Per-location overtime policy, hold OT pickups for manager approval (surfaced in Needs Review), and enforcement modes that block, warn, or escalate. Unstarted shifts of a departing staff member return to the open pool.
  </Card>

  <Card title="Credentials & Compliance" icon="certificate">
    Credential expiry alerts at 90/60/30/14/7/0 days. Publish-time validation against ratio, credential, OT, HPPD, and zone min-headcount rules. Labor cost rollups compare projected vs actual at portfolio, community, role, and shift.
  </Card>

  <Card title="Staffing Models & Census" icon="chart-line">
    Import or export staffing models (creating missing positions and locations on confirm). Drive models from occupancy (including August Health). Open coverage gaps for any model position with a clear meaning for each coverage cell.
  </Card>

  <Card title="Float Pool & Agency" icon="people-arrows">
    Cross-community float pools and agency vendor onboarding with credential checks and invoice reconciliation.
  </Card>

  <Card title="Communications" icon="comments">
    Community feed with reactions, polls, and audience-targeted posts; 1:1 messaging with photos; message teammates by shift or schedule. Web and native (Expo) push for new messages and offers.
  </Card>

  <Card title="HRIS & Attendance" icon="arrows-rotate">
    Roster, attendance, and PTO sync with sandbox filters, a position picker, visible exclusions, nightly cadence, and a stop control. Surface shifts that were worked but never rostered so they can be fixed.
  </Card>

  <Card title="skyAgent & skyBrain" icon="brain">
    Location-scoped assistant for who is working, hours, unscheduled staff, and product how-to. Generate/autofill and staff invite/edit/deactivate are gated. Dual-role users can switch between the admin app and their staff view.

## How a Week Gets Built

<Steps>
  <Step title="Model the community">
    Positions (with optional sub-positions), staff types, rotation anchors, day/evening/night ranges, and a staffing model tied to census or occupancy.
  </Step>

  <Step title="Generate a draft">
    Expand templates and recurring patterns. Autofill open slots by the named fill order. Recurring rotation weeks align to the schedule week you actually publish.
  </Step>

  <Step title="Fill the gaps">
    Open shifts enter the waterfall. Callouts and late clock-ins open replacement work. Staff accept or decline from the PWA; managers can require approval to cancel a published shift.
  </Step>

  <Step title="Publish with checks">
    Compliance, credentials, overtime, and zone coverage are validated. skyAgent actions stay on the decision log. Export the branch schedule to Excel, filtered by member, position, or period.
  </Step>

## Platform Integration

* **HRIS** — Roster, punches, and PTO into the schedule and attendance views
* **August Health** — Occupancy-driven staffing models and census-aware recommendations
* **PointClickCare / MatrixCare** — Census snapshots for HPPD and ratio status (where connected)
* **SMS & Email** — Configurable offer, assignment, accept/decline, and invite notifications
* **Microsoft Entra ID** — Enterprise SSO; B2C email/password provisioning from the admin Users page
* **skyHire / skyLearn / skyVerify** — Candidate-to-roster and credential-aware placement
* **skyAgent** — Shared agent layer across skyWorkforce

skySchedule **prepares** CMS PBJ-oriented extracts and Five-Star related staffing views for operators; submission remains a controlled, attested process — not a silent auto-file.
